A nonprofit is not a business — that is true. But personal data obligations apply in exactly the same way. As soon as a member's email is collected, GDPR comes into play. Donor data often includes bank details. Youth organisations process data on minors. Medical associations handle health data.

The concrete problem: most nonprofits cannot afford a dedicated IT manager. Volunteers work on their own devices, passwords are shared on Post-it notes, and member files are sent unencrypted by email. When the treasurer changes, nobody knows where the access credentials are.

What GDPR and accounting obligations apply to nonprofits?

GDPR — Mandatory for all nonprofits

As soon as an association collects the name, first name, email or phone number of a member, it is subject to GDPR. Administrative AND criminal penalties are possible. A register of processing activities is mandatory. No CNIL declaration required since 2018, but internal obligations are stricter.

Rights of individuals

Members, donors and volunteers have the right of access, rectification, erasure and portability of their data. The association must be able to respond to these requests within 30 days. A privacy charter is recommended. Appointing a DPO is possible.

Accounting and grants

Associations receiving more than €153,000 in public grants must publish their accounts. Accounting must comply with the nonprofit chart of accounts. Accounting documents must be retained for 10 years. The use of grants must be traceable and documented.

What IT problems do nonprofits face day to day?

Constrained budgets and outdated tools

Many nonprofits operate with multiple spreadsheets that are difficult to maintain consistently. A proposed toolset can combine eligible vendor programmes and open-source tools after current licensing terms have been verified.

Our association has a very limited IT budget — what can you offer?

The scope is adapted to the number of users, sites, applications and support needs, then priced by quote. Eligibility and licensing for Microsoft 365 Nonprofits or other vendor programmes must be verified before they are included.

Volunteers change every year — how do we manage access?

We set up centralised identity management via Microsoft 365 or Google Workspace Nonprofits. Each volunteer has a named account with role-based access rights. When a volunteer leaves, their account is deactivated and their files transferred to their successor. A digital handover guide is provided at every board renewal.

Is our association really subject to GDPR?

Duties depend on the processing activities and the organisation's role. Check current official guidance and exceptions; any documentation or technical assistance must be defined in the proposal.

We use shared Excel files — is that a problem?

Start by inventorying files, owners, duplicates, permissions and retention rules. Destination, migration, tests and acceptance must be confirmed before intervention.
